Amenity Access Control for HOA Communities

What does a pool gate cost a board? The hardware is the smaller number. The larger one is the budget line for locks that get rekeyed after every dispute, key cards that never come back, and the volunteer who has to tell a neighbor they cannot swim because their dues are past due. Amenity access control moves that decision out of the pool house and into a policy the board sets once. Residents tap a fob or a phone, the system checks their account status and the time of day, and the door opens or it does not. We design and install it for HOA and multifamily communities across North Carolina, South Carolina, and Georgia, and it works with the gate access control we install at the community entrance.

Price Amenity Access

One Credential for Every Amenity Door

The pool gate, the fitness room, the clubhouse, the tennis courts, and the pedestrian gate by the mail kiosk should open with the same credential a resident already carries. Each credential is a key fob or a mobile credential on the resident's phone, tied to a household record with a limit on how many fobs each unit can hold. A property manager adds a new owner at closing and deactivates a tenant when the lease ends, from a browser, using cloud access control. Lost fobs are canceled in seconds instead of rekeying the building. Door prop alarms on the pool gate flag a latch propped open with a towel, and the clubhouse gets intrusion alarm coverage for the hours it is locked.

Schedules That Match the Rules

Each amenity gets its own rules, and the system enforces them without a volunteer standing at the gate:

  • Pool: Open dawn to dusk in season, locked off-season, with a different schedule for a swim team or lessons.

  • Fitness room: Open to members around the clock, with an after-hours camera and a door that logs every entry.

  • Clubhouse: Locked except for reserved events, with a temporary credential issued for the reservation window.

  • Tennis and sport courts: Daylight hours with an automatic lock at the posted close time.

  • Maintenance and pool service: Vendor credentials with an end date and a restricted door list.

  • Board and manager: Master access for the people who run the community, with every use logged.

Guest Passes Without the Honor System

Guest rules are where most communities get into arguments. A resident issues a time-limited guest pass from their phone for a party, a visiting relative, or a contractor, and the pass expires on its own. Limits on guests per household per day are set by the board and enforced by the system. Visitors at the front gate use the video call box instead. The pass log is the record the board uses when a neighbor complains that the pool was crowded with non-residents, and it replaces memory and guesswork with a count.

Suspending Access for Unpaid Dues

Whether to restrict amenities for unpaid assessments is a legal and governing-document question that the board and its attorney decide, and North Carolina and South Carolina communities should check their declarations and state statutes first. What the system provides is the mechanism. The management company marks an account delinquent and the credential stops working at amenity doors, with no confrontation at the pool gate, and it comes back the moment the balance clears. The credential still opens the vehicle gate in most communities, since that is a separate matter. We build the rule once and the manager applies it, with a log showing exactly when access changed.

Cameras at the Pool, Gym, and Clubhouse

A reader tells the board who badged in. A camera tells the board who walked in behind them. We aim cameras at the pool gate, the fitness room door and floor, the clubhouse entrance, and the parking lot, never at changing areas or restrooms. Footage gets reviewed when a complaint is filed (communities with recurring after-hours trouble can add live video monitoring), and retention is typically 30 days. Residents can learn about the cameras from a posted notice, and managers can pull a clip from a phone. See our HOA security camera page and our general video surveillance overview for typical scope and cost.

What Amenity Access Costs

A typical amenity door with reader, electric strike or magnetic lock, request-to-exit, and door position switch runs $1,500 to $3,500 installed, with weatherproof pool gate hardware at the top of the range. Cloud hosting runs $5 to $15 per door per month. Fobs are a small per-unit cost and mobile credentials need no hardware. A community with a pool gate, a fitness room, and a clubhouse is commonly a three-door project in the $4,500 to $10,500 range, and adding cameras at those three spots is a separate line, with an eight to twelve camera community system typically $14,000 to $28,000. Boards often phase the work across budget years.

How We Work with Boards and Managers

We present options at three budget levels in writing, schedule walkthroughs around volunteers' evenings, and hand the system to the association, with admin credentials that belong to the HOA and not to us. A management company running several communities can use one login across them. If your current vendor has gone quiet, a system takeover keeps what works. Our parent page for HOA security shows the full picture, and the communities we serve are listed on the service area map.

HOA Amenity Access Questions

Can we keep our existing key card readers?

Often, if they are standard formats and in good condition. We test the readers, replace the controller, and move the system to the cloud. Readers that are failing or use a format nobody supports get replaced door by door.

What happens when a resident loses a fob?

The manager deactivates it in the cloud dashboard and issues a new one. The lost fob stops working immediately, with no rekeying and no change for anyone else.

Can access be suspended for unpaid dues?

The mechanism exists. Whether your community may use it depends on your governing documents and state law, so the board should check with its attorney first. We configure the rule the board decides on. See cloud access control for how accounts are managed.

Do residents need a smartphone?

No. Fobs work the same way for residents who do not want a phone credential. Many communities offer both and let each household choose.

Can you tie the amenity doors to the community gate?

Yes. One resident record can control the community gate and every amenity door, so the manager has one list to maintain instead of two.

I was switching from a different company and im so glad that I did. Zach came and installed a new security system for my business and was able to switch over my fire panel to meet county standards to stay in compliance. Zach was also able to switch my camera system to monitor. The transition process was smooth. Thank yall for helping us out at Brighter Minds Academy 2
