Access Control for Hotels

Hotels already run a key system: the card that opens room 412. The trouble is everything else. The kitchen door, the linen room, the engineering shop, the money room, the pool gate, and the staff entrance on the loading dock are usually opened with keys nobody can count. We install access control on those doors so a general manager sees who opened what, deactivates a badge in seconds, and sets hours for guest amenities. We work with hotels across North Carolina, South Carolina, and Georgia and with the cloud access control platforms that let a management company run several properties from one login.

Get a Hotel Access Quote

Staff Doors and Back of House

The back-of-house door is the door that shrink walks through. A reader on the kitchen, receiving, laundry, linen, housekeeping closet, engineering, and the office replaces the metal key ring and gives management a record. Schedules limit the breakfast crew to breakfast hours and give engineering around-the-clock access. Door position switches flag a door that has been held open, using door prop alarms. Each credential belongs to one person (a key fob or mobile credential), which is the point: when a banquet server quits mid-shift, the badge dies at the front desk and the rest of the property keeps working.

Pool, Fitness Room, and Business Center

Guest amenities have hours and a guest list. A reader on the pool gate lets in guests with a room key credential or a fob during posted hours and locks after dark, which is where a hotel's liability sits. The fitness room and business center follow their own schedule. The pool deserves a camera aimed at the gate (see remote viewing for how managers check it) and a door prop alarm on the latch, since the gate propped open with a towel is a pool gate that is not a gate. We pair the access system with cameras so an incident review shows both the badge event and the video.

Parking Gates and Garages

A hotel garage or gated lot has guests, staff, event attendees, and the person who is just using it. Gate options range from ticketless operation with plate capture to credential readers for staff and long-stay guests. We design the lane with plate recognition, a call box for visitors, and a safe fail-open for fire alarm and power loss. Staff parking gets a separate credential group with its own hours. Revenue control for paid parking is a separate system we coordinate with, not one we replace.

What an Audit Trail Gives a Hotel

Every swipe is a record. The reports hotel managers pull most often:

  • Who opened the kitchen after close: A time-stamped list tied to a named employee, not a key hanging on a nail.

  • Amenity gate history: Entry attempts at the pool and fitness room, including denied reads after hours.

  • Expired and unused credentials: Badges that have not been used in 60 days are the ones to deactivate.

  • Forced and held-open doors: Alerts for doors opened without a read or left open, sent to the manager on duty.

  • Contractor access windows: Vendors and renovation crews with an end date built into the credential.

  • Incident review: Door events linked to camera clips so a claim file takes minutes to assemble.

Elevators and Floor Control

Elevator control can restrict floors after midnight to guests with a room credential, keep service elevators locked to staff, and recall to the lobby on the fire alarm signal. The elevator vendor owns the car controller, so we work with their equipment and coordinate the interface rather than replace it. Loading dock and service entrances can use a video intercom so receiving staff see the delivery before opening. Stairwell doors are different: they stay unlocked for egress from the stair side under the building code, and we only control re-entry where the code and the AHJ allow. Not every hotel needs elevator control, and a short walkthrough tells us if yours does.

Keeping Access Data Separate from Payment Systems

Hotels handle card data at the desk, and owners ask whether the security network touches it. Our answer is general by design: access control and camera systems should sit on their own network segment, away from the point-of-sale and property management network, with unique logins, encrypted communication, and no shared passwords. That architecture is consistent with what payment-card standards expect of a segmented environment, and your compliance provider decides what applies to you. We do not certify PCI compliance and will not claim to. The IT contact on your side will want to see the network diagram, and we provide one.

What Hotel Access Control Costs

A typical interior door with a reader, electric strike or magnetic lock, request-to-exit, and door position switch runs $1,500 to $3,500 installed. Exterior and pool gates with weatherproof hardware and conduit sit at the top of that range. Cloud hosting adds $5 to $15 per door per month and replaces the on-site server. A hotel with 12 to 20 controlled doors is looking at a project in the $18,000 to $70,000 range, depending on cabling difficulty and parking gates. A release integration with the fire alarm, where locks must release on alarm, is part of the design and not an extra surprise. For related options see biometric access control and the hotel security overview. Most properties pair door access with video intercoms at the side entrances, and if you are inheriting an older system from a previous owner, start with a security system takeover review before buying new hardware.

Hotel Access Control Questions

Can you integrate with the guest room key system?

Sometimes. Some lock vendors can share a credential format with the amenity readers, which lets a room key open the pool gate. Others cannot, and then we use a separate fob or a mobile credential. We confirm compatibility during the site walk before quoting.

What happens to access doors when the fire alarm goes off?

Doors on egress paths release, either by the lock's fail-safe design or by a relay from the fire alarm panel. Doors that protect cash or controlled areas can stay locked if the code permits and egress is not blocked. We design this with the AHJ in mind.

Can we manage several hotels in one account?

Yes. Cloud platforms support multi-property management, so one operations team can set badge rules and view reports for every location, while each property manager sees only their own doors.

Do you install parking gates for hotels?

Yes, with plate capture and a call box if needed. See the HOA gate access page for the same hardware in a community setting. We design the lane around the property's traffic, including event days.

Is access control a PCI requirement?

No standard we know of says every hotel door needs a reader. Payment-card rules concern how card data is stored and networked, and secure physical access to systems that hold it is part of that picture. Your compliance advisor decides what applies to your property.

I knew when I called and had a conversation with Donna that they would be a good fit to do business with. Donna and Zach was very friendly and responsive. I was switching from a different company and im so glad that I did. Zach came and installed a new security system for my business and was able to switch over my fire panel to meet county standards to stay in compliance. Zach was also able to switch my camera system to monitor. The transition process was smooth. Thank yall for helping us out at Brighter Minds Academy 2
