Why Shared Gate Codes Fail Every Community

Most gated communities we visit still run on a four-digit code that was shared with a pizza place in 2019. The code cannot be revoked without inconveniencing 300 households, so it never is, and the gate becomes decoration. The fix is credentials that belong to a person or a vehicle: a windshield transponder read at 30 feet, a mobile credential on the resident's phone, or a fob for the pedestrian gate. Each can be revoked in seconds when a home sells or a tenant leaves, and each leaves a record. Guest access moves to a visitor path that does not require sharing anything permanent.

The Parts of a Community Gate System

Every gate entrance is a small integration of five things, and the weakest one sets the reliability:

Gate Operators: Commercial-duty swing or slide operators sized for the cycle count of a 200-home community, with battery backup and a safe fail-open on power loss.
Resident Credentials: Windshield transponders for hands-free entry, mobile credentials for residents who prefer a phone, fobs for pedestrians and golf carts.
Visitor Call Box: A video call box that rings the resident's phone anywhere; they see the visitor and tap to open, with a log of who let whom in.
Plate Recognition: A plate reader at the entrance that opens for registered vehicles and records every plate that enters, registered or not.
Safety and Loop Detection: Vehicle loops, photo eyes, and edge sensors so the gate never closes on a car or a child, and stays open when a loop fails.
Cameras at the Gate: A camera on each lane that captures the driver and the plate, because every gate dispute is a footage request.

Boards change every year and property managers change almost as often, so the system has to be run from a browser by whoever holds the job this year. We put community gates on cloud access control: the manager adds a new owner at closing, deactivates a transponder when a tenant moves out, sets the landscaper's schedule, and pulls the entry log for the board meeting, all without calling us. Vendor and contractor credentials carry an end date. Board officers get read-only access; nobody in the community gets more than they need.

Visitors, Deliveries, and the Package Problem

Delivery volume broke the old visitor model. A gate that rings a resident for every package fails by lunchtime, and a gate that stays open for carriers is not a gate. We set up carrier windows and delivery credentials for the major carriers, a visitor path through the video call box for everyone else, and one-time guest passes residents issue from their phones for a party or a contractor. Pedestrian Gates, Pool Gates, and the Clubhouse

Vehicle gates get the attention, but the pedestrian gate by the pool is where the security incidents happen. The same credentials that open the vehicle gate open the pool gate on the pool schedule, the gym around the clock for members, and the clubhouse only for reservations. What Gate Access Control Costs

A single-lane entrance with a commercial operator, transponder reader, video call box, safety loops, and camera typically runs $18,000 to $35,000 installed, with the operator the largest line. A dual-lane entrance with a plate reader and separate exit runs $35,000 to $65,000. Adding cloud management and the visitor system to gates that already have working operators runs $8,000 to $18,000, which is the most common project we do for existing communities. Windshield transponders cost $15 to $30 each; mobile credentials have no hardware cost. Monthly cloud hosting is $50 to $150 per community depending on gate count.

HOA Gate Access Questions

Can we keep our existing gate operators and just upgrade the access control?

Usually, if the operators are commercial-duty and under about 12 years old. We replace the reader, the call box, and the controller, add cloud management and cameras, and leave working operators in place. Operators that are undersized for the community's cycle count get replaced, because they are the part that strands residents at 6 a.m.

How do residents get in if the power goes out?

Battery backup runs the operator through short outages, and the gate is set to fail open on a long one, which is also what fire code expects. Fire department access is handled with a listed emergency entry device on every lane.

How do we handle package carriers and food delivery?

Carrier windows and carrier credentials for the major services, a video call box for everyone else, and one-time guest passes residents issue from their phones. Nobody shares a permanent code.

Can the board see who came through the gate?

The property manager can pull the entry log and gate camera footage on written request after an incident. We recommend boards keep live access limited to the manager and one officer; broad access creates privacy complaints faster than it solves problems.

Does the same credential work at the pool and clubhouse?
