Fire Alarm Maintenance and Service Agreements

An inspection happens once a year, takes a day, and tells you where the system stands. The other 364 days, batteries age, detectors collect dust, and somebody moves a pallet in front of a pull station. A fire alarm maintenance agreement covers that stretch: scheduled visits, trouble-signal response, battery and detector care, and records that are current when the fire marshal asks.

Ask About a Service Agreement

Inspection Tells You Where You Stand. Maintenance Keeps You There.

These are two different services, and mixing them up leads to gaps. Our fire alarm inspection and testing is the NFPA 72 compliance test: every device is tested on its required schedule and the result goes on a report. Maintenance is what happens around it, the work that keeps the system dependable between tests and fixes problems as they appear.

A good agreement usually includes the annual inspection as one of its line items, so you get one vendor, one calendar, and one set of records. If you only want the compliance test, we sell it separately. If you want the system looked after, the agreement is the better fit.

What a Service Agreement Includes

Agreements are written to the building, but the core pieces are the same:

  • Scheduled Preventive Visits: Walk-throughs between inspections to check panel status, event history, battery health, and device condition before problems show up.

  • Priority Trouble Response: Your calls move to the front of the line, with faster dispatch and, on some tiers, reduced service-call charges.

  • Battery and Power Care: Batteries get tested and replaced on a schedule, not after they fail. Chargers and power supplies are checked at the same visits.

  • Detector Cleaning and Sensitivity: NFPA 72 requires detector sensitivity testing within a year of installation and every other year after that. Dusty or out-of-range detectors get cleaned or replaced.

  • Programming Changes: Tenant moves, room renumbering, and added devices require panel updates. These get done under the agreement, with the programming files kept on file.

  • Monitoring Coordination: Test signals, account updates, and contact list changes get handled alongside service.

How Often Do Visits Happen?

Frequency depends on the building, not a template. Most agreements follow one of three patterns.

  • Annual: The NFPA 72 annual test plus one preventive visit. Fits small single-tenant buildings with simple addressable systems.

  • Semi-Annual: Two full visits a year. Common for buildings with sprinkler supervision, because waterflow and tamper switches have semi-annual test requirements.

  • Quarterly: Four visits a year for large or high-occupancy properties, or buildings with a history of recurring troubles.

What an Agreement Costs

Pricing follows device count, building age, and how many visits you want. A small commercial building often spends $600 to $1,800 a year on an agreement that includes the annual test and one or two preventive visits. A mid-size building with 100 to 300 devices typically runs $2,000 to $6,000. Larger campuses are quoted per building. These figures sit inside the inspection budgets published on our life safety overview because the agreement folds the test into a longer-term service plan.

What the quote covers is spelled out: which visits are included, what is billed per call, which parts are covered, and what the response time commitment is. You should not have to guess whether a battery replacement is inside the agreement.

Taking Over Service From Another Company

Plenty of agreements start with a switch. The previous vendor stopped answering, raised prices, or let inspections lapse. We take over existing systems, inventory what is installed, pull the event history, and bring the system current before the first scheduled visit. If the panel is locked, we try to recover access, and if that fails, we explain what a replacement would involve. See our takeover page for the details.

Records the Fire Marshal and Your Insurer Ask For

NFPA 72 requires inspection, testing, and maintenance records, and says they should be kept until the next test and for one year afterward. Many owners keep them longer, since an insurer or attorney may ask years later. Every visit generates a report tied to the specific devices and dates, with failed items and their repairs noted. We keep a copy on file, so a lost binder is not a compliance event.

Who Uses Service Agreements

Property managers use them to run one calendar across many buildings. Owners of apartment communities, schools, and office buildings use them to avoid emergency repair bills. Facilities with sprinklers pair them with sprinkler inspection, so alarm and sprinkler service sit on one schedule. When something breaks between visits, our repair team responds. Fire alarm work here is led by a NICET Level III certified technician, and our North Carolina fire alarm and low-voltage license is SP.FA/LV.36697. We serve Charlotte, Rock Hill, Roswell, and the rest of our service area.

Fire Alarm Maintenance Questions

What is the difference between fire alarm maintenance and fire alarm inspection?

Inspection is the NFPA 72 compliance test with a report. Maintenance is the ongoing care between tests: preventive visits, battery replacement, detector cleaning, programming changes, and trouble response. Most maintenance agreements include the annual inspection as one line item.

Do I need a maintenance agreement, or can I just call when something breaks?

You can call when something breaks. The risk is that nobody is looking at battery age, detector sensitivity, or recurring troubles in between, so problems show up at the worst time. An agreement costs a little more per year and usually reduces emergency calls.

Does the agreement cover parts and repairs?

It depends on the tier. Some agreements include labor for covered service calls and bill parts separately. Others include specific parts, such as batteries. The written quote lists what is covered and what is billed, so there is no argument later. For work outside the agreement, our repair pricing applies.

Can you take over maintenance on a system someone else installed?

Yes. We inventory the system, review its history, and bring it current. If the panel is locked, we try to recover access first, and quote a replacement panel only if that fails.

How do you handle multiple buildings or locations?

Each building gets its own schedule, records, and report, but the calendar is shared, so you can see every due date in one place. Multi-site owners often put every location under one agreement across North Carolina, South Carolina, and Georgia.

I was switching from a different company and im so glad that I did. Zach came and installed a new security system for my business and was able to switch over my fire panel to meet county standards to stay in compliance. Zach was also able to switch my camera system to monitor. The transition process was smooth. Thank yall for helping us out at Brighter Minds Academy 2
